Refund and cancellation policy

This policy applies to professional engagements offered by Data Matrixbase Co., Ltd., including dashboard projects, diagnostics, scorecard design, workshops, and monthly briefings. It does not cover goods retail or software subscriptions, which we do not sell on this site.

Eligibility

Refunds are considered when we cancel an engagement, when a prepaid workshop is cancelled by us, or when a written proposal expressly allows a cooling-off period before work starts. Deposits become non-refundable once discovery workshops or branch visits have begun, except where we are unable to perform.

Timeframe to request

Send refund requests to hello@data-matrixbase.click within 14 days of the event giving rise to the request, or within the period stated in your contract if different.

Full and partial refunds

• Full refund: if we cancel before kickoff, or if a workshop is cancelled by us and no alternative date is accepted.
• Partial refund: if you cancel a project after kickoff but before pilot delivery, unused later-phase fees may be returned after deducting completed discovery, visits, and materials already prepared.
• No refund: for completed phases, delivered documentation, or briefing months already invoiced and delivered.

Non-refundable items

Third-party travel booked at your request, custom printed workshop materials already produced, and hours already facilitated are non-refundable.

Process

Email the engagement name, invoice number, and reason. We confirm receipt within three business days and decide within ten business days after reviewing the file.

Processing time and method

Approved refunds are returned via the original payment method within 15 business days of approval, or by bank transfer to a Thai account you nominate if the original method is unavailable.

Cancellation and rescheduling

Workshops may be rescheduled once without fee if you give at least seven days’ notice. Later changes may incur a 20% rescheduling fee. Project timelines shift by mutual written agreement; delays caused by late extracts do not by themselves create a refund right.

Deposits and no-shows

Project deposits of 40% secure team allocation. Workshop no-shows without 48 hours’ notice forfeit the session fee. Monthly retainers cancelled mid-cycle are non-refundable for the current month; notice ends future months.

Work already started

Once branch visits, metric workshops, or draft builds have started, fees for those stages remain payable. We provide a status summary of completed work upon early termination.
